A case study with Monteck Carter, Auckland, New Zealand
Monteck Carter is a Chartered Accounting firm based in Auckland, New Zealand, providing Tax and Accounting compliance services.
Having used Nimbus since 2012, we sat down with Nita Coetzee, Client Service Manager at Monteck Carter, to have a chat about their journey and experience with Nimbus so far.
Nimbus: Nita, tell us a bit more about your role and your background with the firm?
Nita: I’ve been with the company since 2008, so just over 10 years. Part of my job is to take care of implementing new strategies and streamlining processes to work smarter and not harder.
When I started with Monteck Carter we were just changing over to working more productively with regards to be a paper-free environment.
Nimbus: How would you describe Monteck Carter before using Nimbus?
Nita: Before Nimbus we were very much a paper-based office. All documents submitted by the clients were hard copies. It wasn’t very structured. We posted paper-based folders, so we had to pay for the folders and send out them out with inserts. So, it was a very costly exercise posting a folder to a client so that it’s neater and tidier for us to actually spend more time doing the accounts, than trying to sort out which documents goes where.
Nimbus: What was your experience with the implementation of Nimbus?
Nita: At the time of the initial implementation we moved from our old paper-based file system to getting questionnaires sent out via Nimbus. We found this extremely helpful, as you can streamline the questions you want to raise with the clients. For example, if it’s an individual they will get a questionnaire based on the template for individuals, and Nimbus has been very helpful in the sense that they already have those templates.
A few years later we moved from CCH onto Xero. The
Xero integration process itself was really easy with the help of the Nimbus Support team. There were obviously a few clients that we had to
clean up to pull the data through correctly, but otherwise it went super smooth. I cannot think of a reason why I would not recommend
integrating Nimbus with Xero.

The fact that it integrates with Xero and automatically updates email addresses and client details in Nimbus has been a
life-saver for us! Not having to go into 3 or 4 different software applications to ensure you have the email addresses up to date. It saves
us a lot of time we can now use to focus on something else.
Nimbus: Can you please share with us a few of the main benefits from the solution that are now evident in the way you work?
Nita: Becoming a paper-free environment means we now scan and save all our documents to the cloud, which gives us ease of access to resend documents to a client if needed. It is also very fast and easy to attach any documents we might want to send to clients via Nimbus. We don’t have any filing cabinets in our company which is awesome! You know, “tidy offices” (laughs!).
All our communication with our clients is either via Outlook or
Nimbus, and for documents that we obtain from clients we use Nimbus as well. In the past clients would bring big shoe boxes with documents,
so it has been a great change for us. Honestly, Nimbus saves us a lot of time!

We have started using Nimbus to submit quotes to our clients. The result is that 99.9% of our clients accept the online
quote on the same day, which means that our turnover is way faster!
We also do our company annual returns on a monthly basis where we get clients to approve an online form in order for us to file their returns, which is another big time-saver.
When we complete client accounts, we will submit the accounts via Nimbus to the clients. We only submit hard copies when a client requests it, in which case we would still split the signature page for the client to sign online.
The success rate for the clients to adopt the new system has
been good.
We provide ongoing training for our clients to familiarise themselves with the process – once they are familiar with it, it goes
really quick.

At Monteck Carter we have a few members that work offsite. The fact that our office system is paperless enables them to

Nimbus: On average, what would you say is the percentage in time that Nimbus is saving you compared to your old system?
Nita: From an administration point of view, I would say 70% and it’s also a huge cost saving as we hardly have to post out any finalised accounts or quotes to clients.
